1. What messages we send
Cloute LLC ("Cloute," "we," "us") provides AI phone and messaging tools for local businesses such as automotive dealerships and hotels. Cloute sends text messages on behalf of these businesses, and every message identifies the business by name. All messages are transactional and low volume. We do not send marketing, promotional, or bulk messages, and we never purchase phone numbers.
There are three types of message, each tied to a phone interaction:
- A link a caller asks for during a phone call (for example, a link to schedule an appointment).
- A link to post a review, sent after an automated feedback survey call when the customer agrees on the call to receive it.
- An internal alert sent to a business's own staff, on a number that staff member entered themselves, letting the team know a customer called in.
Example messages:
Hi Sam, this is [Business Name]. Here is the link to schedule your appointment: [link] Reply STOP to opt out.
Thanks for your feedback about [Business Name]! We wrote a review based on what you shared, tap to copy and post it here: [link] Reply STOP to opt out.
2. How a person opts in (verbal consent)
Consent is collected verbally, on the phone call, before any message is sent. No message is ever sent without the person asking for it or agreeing to it on the call.
- A person phones a local business that uses Cloute's AI receptionist.
- During the conversation the caller asks to receive a link by text (for example, "can you text me the link to schedule?"), or the receptionist offers and the caller says yes.
- The receptionist confirms the caller's mobile number by reading it back.
- One text message containing the requested link is sent to that number.
For a feedback survey call, the customer verbally agrees on the call to receive a single follow-up text with a link to post the review they shared. For internal staff alerts, a member of the business's own team enters their own mobile number in the Cloute dashboard to receive them. Phone numbers collected in any of these ways are used only to deliver the messages described above and are never shared, sold, or used for marketing.
3. Verbal consent scripts (exact wording)
These are the word-for-word scripts used on the call to obtain consent before any text is sent. A message is sent only after the person clearly agrees.
Scheduling link (inbound call answered by the business's AI receptionist):
"I can text that scheduling link to you right now. Is this the best mobile number to send it to? ... Great, I will text it to you in just a moment. You will receive one text with the link."
Review link (outbound feedback survey call; asked only after the survey and only when the customer described a positive experience):
"Thanks so much, your answers really help us. Would it be okay if we text you a link where you can share your feedback publicly as a review? We will write it up from what you told us, so you can just look it over and post it if you like."
If the person declines or does not clearly agree, no message is sent. Every outbound survey call also opens with this disclosure: "This is an automated assistant calling on behalf of [Business Name] about your recent visit. This call uses an AI voice and takes about a minute. Is now an okay time?"
4. Opting out
Every message includes opt-out instructions. Reply STOP to any message to immediately stop receiving texts. Once a number opts out, our systems automatically block all future messages to it unless the person replies START. Reply HELP or contact us at team@trycloute.com for assistance.
5. Message frequency and rates
Message frequency varies and is low: typically one message per caller request or per completed survey call. Message and data rates may apply, depending on your mobile carrier plan.
